Office Coordinator

About the role
We are looking for an Office Coordinator to run the physical and administrative heartbeat of the Dubai headquarters: the office itself, the vendors, the onboarding logistics, and the events that make a distributed company feel like one team. Every company says people are everything. You are the person who makes the everything actually work.
In a startup like ours, the office playbook is unwritten: supplier contracts, onboarding kits, visitor flows, team gatherings. You will write it, and everyone who joins after you will feel the difference without knowing why.
What you will do:
Run the office: Own the daily operations of the Dubai office: supplies, facilities, maintenance, and the standard the space is kept to.
Manage the vendors: Source, negotiate, and manage office suppliers and service providers, and keep the costs honest.
Land the new joiners: Own onboarding logistics: equipment, access, desk, documents, and a first day that feels designed.
Keep the calendar: Coordinate meetings, visitor arrangements, and travel support for the leadership team.
Make the moments: Plan and run team events, offsites, and the gatherings that pull our offices together.
Support the paperwork: Assist the People and Culture Manager with documentation, records, and local administrative requirements.
Spot and fix: Notice the broken chair, the expiring contract, the missing cable, and fix them before anyone asks.
Who you are:
Experience: 2 to 4 years in office coordination, administration, or workplace operations, ideally in a startup or fast moving company.
Organisation: Runs a dozen small threads at once without dropping one.
Local knowledge: Familiar with Dubai vendors, building management, and administrative processes.
Communication: Friendly, clear, and professional with everyone from couriers to founders.
Ownership: Treats the office like it is theirs, because functionally it is.
Tools: Comfortable with calendars, spreadsheets, and basic procurement tracking.
Education: A diploma or bachelor degree in any field.
Bonus points if:
You have set up or moved an office and enjoyed it.
You have organised events people still mention.
You have supported onboarding in a company that doubled while you were there.
